VirtusQ ("VirtusQ", "we", "us", or "our") provides AI-powered volleyball technique coaching through video analysis. This Privacy Policy explains what information we collect when you use our website, mobile application, and related services (collectively, the "Service"), how we use and protect it, and the choices and rights you have.

By using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the Service.

1. Information We Collect

Information you provide directly:

  • Account information — name, email address, password, date of birth, and optional profile details such as playing position, skill level, height, and training goals.
  • Video content — videos you record or upload of yourself (or others, with their permission) performing volleyball movements such as serving, passing, setting, spiking, and blocking.
  • Communications — messages you send to our support team, survey responses, and feedback.
  • Payment information — processed by third-party payment providers (such as the Apple App Store, Google Play, or Stripe). We do not store full card numbers on our servers; we receive only confirmation of payment, subscription status, and limited billing metadata.

Information generated when you use the Service:

  • Pose and movement data — our AI extracts body-joint positions (skeletal keypoints), joint angles, timing, and movement trajectories from your videos frame by frame in order to analyse your technique. In some jurisdictions this may be considered biometric or biometric-adjacent data; see Section 5.
  • Performance data — technique scores, progression levels, rep history, detected errors, and AI-generated coaching feedback.
  • Device and usage data — device model, operating system, app version, IP address, approximate location derived from IP, language settings, crash logs, session duration, and features used.
  • Cookies and similar technologies — see Section 10.

2. How We Use Your Information

We use the information described above to:

  • Provide the core Service — analysing your uploaded videos, generating technique scores, and delivering personalised coaching feedback;
  • Create and manage your account and subscription;
  • Track your progress over time and personalise your training experience;
  • Improve our AI models — only using videos from users who have expressly opted in (see Section 4);
  • Maintain the safety, security, and integrity of the Service, including detecting fraud and abuse;
  • Diagnose and fix technical problems and improve app performance;
  • Communicate with you about your account, updates to the Service, and (with your consent where required) marketing;
  • Comply with legal obligations.

Where laws such as the EU/UK General Data Protection Regulation (GDPR) apply, our legal bases for processing are: performance of our contract with you (providing the Service), your consent (AI training storage, marketing), our legitimate interests (security, product improvement, analytics), and compliance with legal obligations.

3. Video Content and How It Is Processed

Video analysis is the core of the Service. When you upload a video:

  • The video is transmitted securely (encrypted in transit) to our processing infrastructure;
  • Our AI extracts pose and movement data and generates your technique analysis;
  • Your video and results are stored in your account so you can review your history, and are visible only to you (and to a limited number of authorised personnel for support and safety purposes);
  • Unless you have opted in to AI training storage (Section 4), your videos are not used to train our AI models.

We never sell your videos, and we never publish or publicly distribute them.

4. Optional Video Storage for AI Improvement (Opt-In)

You can choose to allow VirtusQ to retain your uploaded videos and the pose data derived from them to train and improve our AI coaching models. This is strictly optional and off by default. If you opt in:

  • Your videos and derived pose data may be added to our model training datasets;
  • Training data is stored separately from your account data with access restricted to authorised machine-learning personnel;
  • Where feasible, we de-identify training data (for example, by removing account identifiers, and/or blurring faces) before it is used for training;
  • Your videos are never used for advertising, sold to third parties, or shown publicly.

Withdrawing consent: you may withdraw your consent at any time in your account settings or by contacting us. After withdrawal, we will stop adding your content to training datasets and will delete your videos from those datasets within a reasonable period (normally 30 days). Please note that AI models already trained before your withdrawal cannot practically "unlearn" data, but your raw videos will no longer be retained for training.

5. Pose Data and Biometric Information

The skeletal keypoint data we extract from your videos describes body movement for the purpose of technique analysis. We do not use it to identify you, and we do not use facial recognition. However, some jurisdictions define such data broadly as biometric information. Where required by applicable law (for example, certain US state biometric laws), we will obtain your explicit consent before collecting such data, retain it only as long as needed for the purposes described in this Policy, and never sell it.

6. How We Share Information

We do not sell your personal information. We share it only with:

  • Service providers — cloud hosting and storage, video processing infrastructure, analytics, crash reporting, customer support, and email delivery providers, bound by contracts limiting their use of your data to providing services to us;
  • Payment processors — to manage subscriptions and billing;
  • Legal and safety — where required by law, court order, or to protect the rights, property, or safety of VirtusQ, our users, or the public;
  • Business transfers — if VirtusQ is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction; we will notify you of any change in ownership or use of your personal information.

7. Data Retention

  • Account data — retained while your account is active and deleted or de-identified within a reasonable period after account deletion (normally 30 days, unless a longer period is required by law);
  • Videos and analysis results — retained in your account until you delete them or delete your account;
  • AI training data (opt-in only) — retained until you withdraw consent or request deletion;
  • Usage and diagnostic data — retained in identifiable form for up to 24 months, then deleted or aggregated;
  • Billing records — retained as required by tax and accounting laws.

8. Security

We use industry-standard safeguards to protect your information, including encryption in transit (TLS) and at rest, access controls, and restricted personnel access to video content. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security. If a data breach affecting your personal information occurs, we will notify you and the relevant authorities as required by applicable law.

9. Your Rights and Choices

Depending on where you live, you may have some or all of the following rights:

  • Access — request a copy of the personal information we hold about you;
  • Correction — ask us to correct inaccurate or incomplete information;
  • Deletion — ask us to delete your personal information, including your videos;
  • Portability — receive your data in a structured, commonly used, machine-readable format;
  • Restriction and objection — restrict or object to certain processing;
  • Withdraw consent — at any time, without affecting the lawfulness of processing before withdrawal (this includes AI training consent, Section 4);
  • Complain — lodge a complaint with your local data protection authority (for example, the Office of the Australian Information Commissioner, or your EU/UK supervisory authority).

You can exercise most of these rights directly in the app (account settings) or by emailing support@virtusq.com. We will respond within the timeframe required by applicable law and may need to verify your identity first. We will not discriminate against you for exercising your rights.

10. Cookies and Analytics

Our website uses cookies and similar technologies that are necessary for the site to function, and — with your consent where required — analytics cookies that help us understand how the site is used. Our mobile app may use analytics and crash-reporting SDKs for the same purpose. You can control cookies through your browser settings and opt out of non-essential analytics where a consent banner or in-app setting is provided.

11. Children's Privacy

The Service is not intended for children under 13, and we do not knowingly collect personal information from children under 13. Users under 18 may only use the Service with the consent and supervision of a parent or legal guardian, and a parent or guardian must provide any consent for AI training storage (Section 4) on the minor's behalf. If you believe a child has provided us personal information without appropriate consent, contact us and we will delete it promptly.

12. Videos That Include Other People

Volleyball is a team sport, and your videos may capture teammates, opponents, or bystanders. You are responsible for obtaining any permission required from people who appear in the videos you upload. If you believe you appear in a video uploaded by another user and want it removed, contact us at support@virtusq.com and we will review and act on your request.

13. International Data Transfers

Your information may be stored and processed on servers located outside your country of residence, including through cloud providers operating internationally. Where required, we use appropriate safeguards for cross-border transfers, such as standard contractual clauses or transfers to countries with adequate data protection laws.

14. Automated Decision-Making

Technique scores and coaching feedback are generated automatically by our AI models. These outputs are for training guidance only and do not produce legal or similarly significant effects about you. AI feedback may contain errors — see our Terms & Conditions for important disclaimers.

15. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes — in particular any change to how videos are used for AI training — we will notify you through the app or by email and, where required by law, ask for your renewed consent. The "Last updated" date at the top shows when this Policy was last revised.
